Refund Policy

A clear overview of refund eligibility, cancellations, credits, and non-refundable services across Syndaq’s hosting, domains, software, design, and business services.

1. Introduction

This Refund Policy explains when Syndaq (“Syndaq,” “we,” “us,” or “our”) may provide refunds, credits, cancellations, or adjustments for products and services purchased from Syndaq or through Syndaq from third-party providers.

This Refund Policy applies to services including hosting, domains, software, apps, SSL certificates, DNS services, SEO services, telecom services, internet services, wireless services, web design, web development, consulting, and business services.

By purchasing, renewing, subscribing to, or using any Syndaq product or service, you agree to this Refund Policy, our Terms of Service, our Privacy Policy, and any additional service-specific agreement, order form, invoice, proposal, statement of work, or service schedule that applies.

2. General Refund Terms

Unless a specific service category below states otherwise, all refund requests are subject to the following general terms:

  • A service must usually be cancelled before a refund can be processed.
  • A service is not eligible for more than one refund.
  • Refund eligibility is determined based on the service purchased, the date of purchase, the date of cancellation, the amount of work already performed, and any third-party costs incurred.
  • Refunds are not available for services suspended, restricted, or terminated for cause, including non-payment, abuse, fraud, spam, unlawful use, policy violations, chargebacks, or breach of Syndaq’s Terms of Service.
  • Refunds are not available for completed work, consumed services, activated services, custom work already performed, third-party fees, setup fees, administrative fees, processing fees, usage-based charges, overage charges, or taxes unless required by law or expressly stated in writing.
  • Refunds may be reduced by any outstanding account balance, unpaid invoices, payment processing fees, chargeback fees, third-party costs, promotional discounts, account credits, or amounts owed to Syndaq.
  • If a service included a free or discounted item as part of a promotion, the standard cost of that item may be deducted from any refund if the primary service is cancelled.
  • Refunds may be issued to the original payment method, as account credit, or by another method chosen by Syndaq, subject to payment processor rules and legal requirements.
  • Purchases made using account credit may be refundable only as account credit.
  • Syndaq is not responsible for bank fees, credit card fees, payment processor fees, currency conversion charges, exchange rate changes, or other charges imposed by third parties.
  • Refund processing times may vary depending on the payment provider, bank, card issuer, or billing platform.

3. How to Request a Refund

To request a refund, contact Syndaq at [email protected] and include your name, account email, invoice number, service name, reason for the request, and any relevant details.

We may require identity verification, account verification, cancellation confirmation, service access, or additional information before processing a refund request.

Submitting a refund request does not guarantee approval. Refunds are reviewed according to this Refund Policy, the applicable service terms, the status of the service, and applicable law.

4. Billing Errors and Duplicate Payments

If you believe you were charged in error, charged twice, or billed incorrectly, contact Syndaq as soon as possible. If Syndaq confirms a billing error, duplicate payment, or incorrect charge, we may issue a refund, account credit, invoice correction, or billing adjustment.

Billing errors must be reported within a reasonable time. Failure to report a billing issue promptly may limit our ability to reverse, investigate, or correct the charge.

5. Chargebacks and Payment Disputes

If you initiate a chargeback, payment reversal, or payment dispute without first contacting Syndaq to resolve the issue, Syndaq may suspend or terminate services, restrict account access, revoke licenses, withhold deliverables, recover chargeback fees, and apply any outstanding balance to your account.

Filing a chargeback does not cancel your service, eliminate amounts owed, or waive Syndaq’s rights under our Terms of Service, invoices, agreements, or applicable law.

6. Hosting Services

Hosting services may include shared hosting, business hosting, managed hosting, reseller hosting, VPS hosting, cloud hosting, dedicated servers, email hosting, application hosting, or related hosting infrastructure.

  • New hosting plans may be eligible for a refund if cancelled within 30 days of the initial purchase, unless otherwise stated at checkout or in the applicable service agreement.
  • Hosting renewals, monthly renewals, annual renewals, upgrades, add-ons, overages, resource usage, bandwidth usage, storage usage, backup fees, migration fees, server management fees, control panel licenses, security add-ons, and third-party licenses are non-refundable unless required by law or expressly approved by Syndaq.
  • Dedicated servers, custom server builds, cloud resources, VPS deployments, reserved resources, IP addresses, and provisioned infrastructure may be non-refundable once ordered, allocated, activated, or provisioned.
  • If hosting is terminated for abuse, spam, malware, excessive resource usage, unlawful activity, policy violations, or security risk, no refund will be provided.
  • Promotional hosting offers may have separate refund terms, and the value of any included free or discounted item may be deducted from the refund.

7. Domain Names

Domain name services may include domain registration, renewal, transfer, restoration, redemption, privacy protection, premium domains, aftermarket domains, DNSSEC, registry fees, or related domain services.

  • Domain registrations are generally non-refundable once submitted to the registry.
  • New domain registrations may be refundable only if cancellation is possible under the applicable registry rules and the request is made within 5 days of registration. Approval is not guaranteed.
  • Some domain extensions, premium domains, registry-reserved domains, aftermarket domains, special launch domains, sunrise domains, landrush domains, early access domains, and promotional domains may be completely non-refundable.
  • Domain renewals are generally non-refundable once processed.
  • Domain transfers are generally non-refundable once initiated, unless the transfer fails and Syndaq receives a return of funds from the applicable provider or registry.
  • Domain restoration, redemption, recovery, registry, and administrative fees are non-refundable.
  • No refund will be issued for domains involved in abuse, fraud, spam, phishing, malware, trademark disputes, legal proceedings, registry suspension, registrar suspension, or policy violations.
  • If a domain was included for free or at a discount with another service, the regular domain price may be deducted from any refund for the related service.

8. Software Products and Licenses

Software products may include downloadable software, licensed software, SaaS subscriptions, scripts, modules, plugins, WHMCS modules, CMS modules, custom applications, internal tools, or digital software products created or provided by Syndaq.

  • Software purchases are generally non-refundable once the software has been downloaded, installed, activated, licensed, accessed, delivered, or made available to you.
  • Subscription-based software may be cancelled for future billing, but partial refunds for the current billing period are not guaranteed.
  • Setup fees, installation fees, configuration fees, migration fees, customization fees, licensing fees, support fees, and professional service fees are non-refundable once work has started.
  • Refunds are not available because of incompatibility with unsupported environments, unsupported third-party software, modified installations, server misconfiguration, failure to meet system requirements, or user error.
  • Refunds are not available for software licenses suspended or terminated due to license abuse, unauthorized sharing, tampering, reverse engineering, chargebacks, non-payment, or policy violations.
  • If Syndaq confirms that a software product contains a material defect that prevents normal use and Syndaq cannot provide a reasonable fix, workaround, replacement, or correction, Syndaq may issue a refund, account credit, or alternative remedy at its discretion.

9. Apps and Application Services

App services may include web apps, hosted apps, mobile apps, business portals, dashboards, SaaS tools, automation systems, client portals, contractor portals, analytics dashboards, booking systems, lead management systems, or other application-based services.

  • App subscriptions may be cancelled for future billing, but fees for the active billing period are generally non-refundable.
  • Custom app development, configuration, onboarding, account setup, data import, integrations, training, and implementation services are non-refundable once work has started.
  • Usage-based charges, storage charges, API usage, message usage, user seats, add-ons, premium features, and third-party service costs are non-refundable.
  • Refunds are not available for app downtime, temporary unavailability, maintenance windows, third-party API outages, user error, unsupported use, or failure to use the app unless expressly required by a service-level agreement or applicable law.
  • If an app service is terminated for abuse, fraud, unlawful activity, spam, security risk, non-payment, or violation of terms, no refund will be provided.

10. SSL Certificates

SSL services may include SSL certificates, certificate installation, certificate renewal, certificate reissue, certificate validation support, wildcard certificates, EV certificates, OV certificates, DV certificates, and related security products.

  • SSL certificate orders may be refundable only if the certificate has not been issued, activated, validated, or delivered by the certificate authority.
  • Once an SSL certificate is issued, SSL fees are generally non-refundable unless the certificate authority allows cancellation and returns funds to Syndaq.
  • SSL installation, troubleshooting, validation support, configuration, and administrative fees are non-refundable once work has started.
  • Refunds are not available due to failed domain control validation, incorrect contact information, delayed approval, missing documents, rejected organization validation, browser policy changes, certificate authority policy changes, or client failure to complete validation.
  • SSL renewals are generally non-refundable once submitted or issued.

11. DNS Services

DNS services may include managed DNS, premium DNS, DNS hosting, DNSSEC, DNS troubleshooting, DNS migration, DNS zone configuration, DNS monitoring, and related domain infrastructure services.

  • DNS subscriptions may be cancelled for future billing, but fees for the current billing period are generally non-refundable.
  • DNS setup, migration, troubleshooting, recovery, configuration, and consulting fees are non-refundable once work has started.
  • Refunds are not available for propagation delays, incorrect client-provided records, third-party DNS provider issues, registrar issues, domain suspension, nameserver changes, caching, TTL delays, or unsupported configurations.
  • Premium DNS, managed DNS, and DNS add-ons may be non-refundable once activated or provisioned.

12. SEO Services

SEO services may include technical SEO, on-page SEO, content planning, keyword research, audits, reporting, metadata optimization, local SEO, analytics setup, search console setup, consulting, and ongoing SEO campaigns.

  • SEO services are professional services and are generally non-refundable once work has started.
  • Monthly SEO retainers, campaigns, reports, audits, consultations, content plans, and optimization work are non-refundable for work already performed or time already reserved.
  • SEO setup fees, onboarding fees, research fees, audit fees, reporting fees, strategy fees, and third-party tool costs are non-refundable.
  • Syndaq does not guarantee specific rankings, traffic levels, leads, sales, revenue, indexing timelines, search engine treatment, or algorithm outcomes.
  • You may cancel future SEO service periods according to the applicable agreement, but cancellation does not create a refund right for completed work, active billing periods, or committed resources.

13. Telecom Services

Telecom services may include VoIP, business phone systems, phone numbers, SIP services, call routing, call forwarding, voicemail, messaging, fax services, telecom consulting, telecom setup, or related communications services.

  • Telecom setup fees, activation fees, number ordering fees, number porting fees, regulatory fees, carrier fees, usage fees, and administrative fees are non-refundable once submitted, activated, or incurred.
  • Monthly telecom services may be cancelled for future billing, but fees for the active billing period are generally non-refundable.
  • Phone numbers, toll-free numbers, vanity numbers, porting requests, and carrier orders may be non-refundable once ordered or submitted to the provider.
  • Usage charges, long-distance charges, international calling, messaging charges, emergency service fees, compliance fees, and overage fees are non-refundable.
  • Refunds are not available for carrier outages, third-party provider issues, number portability delays, unsupported devices, internet quality issues, client network issues, or regulatory restrictions outside Syndaq’s control.

14. Internet Services

Internet services may include business internet, managed connectivity, installation coordination, router configuration, ISP coordination, network setup, site surveys, failover services, or related internet service support.

  • Internet installation fees, activation fees, site survey fees, dispatch fees, hardware fees, provider fees, and construction or cabling fees are non-refundable once ordered, scheduled, installed, or incurred.
  • Monthly internet service charges may be cancelled for future billing according to the applicable service agreement, but current billing periods are generally non-refundable.
  • Refunds are not available for outages, speed variations, provider maintenance, location limitations, wiring conditions, signal issues, building restrictions, customer equipment issues, or third-party provider failures unless expressly required by a service-level agreement or applicable law.
  • Early termination fees, contract buyouts, equipment replacement fees, unreturned equipment fees, and provider-imposed fees are non-refundable.

15. Wireless Services

Wireless services may include wireless internet, managed Wi-Fi, access points, wireless networking, LTE/5G failover, wireless devices, SIM-based services, mobile connectivity, signal testing, and related wireless support.

  • Wireless setup fees, activation fees, SIM fees, device provisioning fees, site survey fees, installation fees, and hardware fees are non-refundable once ordered, activated, shipped, installed, or used.
  • Monthly wireless service fees may be cancelled for future billing, but fees for the active billing period are generally non-refundable.
  • Usage-based wireless charges, data overages, roaming, messaging, carrier fees, regulatory fees, and third-party provider fees are non-refundable.
  • Refunds are not available for poor signal caused by location, building materials, interference, client equipment, terrain, carrier coverage limitations, congestion, weather, or third-party network conditions outside Syndaq’s control.
  • Hardware returns, if allowed, must be approved in writing and may be subject to restocking fees, inspection, original packaging requirements, and condition requirements.

16. Web Design and Web Development Services

Web design and web development services may include custom website design, custom development, landing pages, CMS development, e-commerce development, booking systems, client portals, integrations, maintenance, revisions, consulting, and related professional services.

  • Deposits, retainers, setup fees, discovery fees, planning fees, design fees, development fees, consulting fees, and custom work are generally non-refundable once work has started.
  • If a project is cancelled before work begins, Syndaq may refund unused amounts after deducting administrative fees, payment processing fees, third-party costs, reserved time, and any work already performed.
  • If a project is cancelled after work begins, the client is responsible for all work completed, time spent, expenses incurred, third-party costs, and committed resources up to the cancellation date.
  • Completed milestones, approved designs, delivered files, launched websites, completed revisions, completed development work, and completed consulting are non-refundable.
  • Refunds are not available because of a change in business direction, change of mind, delayed client feedback, failure to provide content, failure to provide access, disagreement after approval, or requests outside the agreed scope.
  • Domain names, hosting, SSL certificates, software licenses, stock assets, fonts, plugins, payment gateway fees, third-party tools, and external provider costs purchased for a project are non-refundable.
  • Any ownership transfer, source file release, launch, migration, or delivery may be conditional on full payment of all amounts owed.

17. Business Services

Business services may include consulting, strategy, branding, business setup support, digital presence services, documentation, process design, workflow planning, technical advisory, marketing consulting, contractor onboarding systems, operational support, and related professional services.

  • Business services are professional services and are generally non-refundable once work has started.
  • Consulting sessions, strategy sessions, audits, reports, documentation, business planning, research, advisory work, and implementation support are non-refundable once delivered or partially performed.
  • Retainers and monthly service fees reserve time and availability and are generally non-refundable for the active billing period.
  • Third-party expenses, filing fees, software fees, provider fees, advertising spend, subcontractor costs, and administrative fees are non-refundable once incurred.
  • Syndaq does not guarantee specific business results, revenue, leads, sales, approvals, rankings, funding, customer acquisition, operational outcomes, or regulatory outcomes.

18. Hardware, Equipment, and Physical Products

If Syndaq provides hardware, networking equipment, routers, access points, phones, devices, cables, or other physical products, refund eligibility depends on the product, supplier, condition, and applicable return authorization.

  • Hardware may be non-refundable once opened, installed, activated, registered, damaged, modified, or used.
  • Approved hardware returns may be subject to inspection, restocking fees, missing accessory fees, shipping fees, and supplier return rules.
  • Shipping, delivery, pickup, installation, dispatch, configuration, and handling fees are non-refundable unless required by law.
  • Special order hardware, custom equipment, licensed devices, clearance items, and provider-controlled equipment may be non-refundable.

19. Renewals and Auto-Renewals

Some services may renew automatically unless cancelled before the renewal date. You are responsible for managing renewals, maintaining accurate billing information, and cancelling services you no longer want before the renewal is processed.

  • Renewal fees are generally non-refundable once processed, especially for domains, SSL certificates, third-party services, licenses, telecom services, internet services, wireless services, and reserved infrastructure.
  • Failure to use a renewed service does not create a refund right.
  • Failure to receive, read, or act on a renewal reminder does not guarantee refund eligibility.
  • Where required by law, Syndaq will honour mandatory cancellation or refund rights that apply to the transaction.

20. Promotions, Discounts, Bundles, and Free Items

Promotional offers, discounts, bundles, free trials, free domains, free setup, free months, or included services may have additional refund restrictions.

  • If you cancel a bundled service, the regular price of any free, discounted, or included item may be deducted from the refund.
  • If a discount was applied to a prepaid term, any refund may be calculated based on the standard non-discounted monthly rate for the period used.
  • Promotional credits, coupons, account credits, goodwill credits, and free service periods have no cash value and are not redeemable for cash unless required by law.

21. Account Credits

Syndaq may issue account credits instead of cash refunds where appropriate. Account credits may be applied to future eligible Syndaq invoices or services.

  • Account credits are not transferable unless approved by Syndaq in writing.
  • Account credits have no cash value unless expressly stated or required by law.
  • Account credits may expire if stated at the time issued or if the account is closed for cause.

22. Taxes, Processing Fees, and Third-Party Charges

Refunds may exclude taxes, payment processing fees, bank fees, currency conversion charges, third-party fees, provider fees, registry fees, carrier fees, licensing fees, and other charges that Syndaq cannot recover.

Where applicable, taxes may be refunded only as required by law and only to the extent the underlying service charge is refunded.

23. Services Terminated for Cause

No refund or credit will be provided for any service suspended, restricted, cancelled, or terminated for cause. Cause may include, without limitation:

  • Non-payment or failed payment;
  • Chargebacks or payment disputes;
  • Fraud, abuse, spam, phishing, malware, hacking, unlawful activity, or deceptive practices;
  • Violation of Syndaq’s Terms of Service, Acceptable Use Policy, service agreement, or applicable law;
  • Misuse of systems, portals, licenses, credentials, hosting, telecom, internet, wireless, DNS, or software services;
  • Conduct that creates security, legal, operational, reputational, or financial risk to Syndaq, our clients, providers, or users.

24. Legal Rights

Nothing in this Refund Policy is intended to exclude, restrict, or modify any refund, cancellation, warranty, consumer protection, or other legal right that cannot be excluded, restricted, or modified under applicable law.

If a mandatory law gives you a refund or cancellation right that conflicts with this Refund Policy, the mandatory legal right will apply only to the extent required by law, and the remaining terms of this Refund Policy will continue to apply.

25. Policy Changes

Syndaq may update or revise this Refund Policy from time to time. The “Last updated” date displayed with this policy indicates the latest revision.

Refund requests are generally reviewed under the Refund Policy in effect at the time of the purchase, renewal, or transaction, unless a later policy is required by law or expressly applies to the request.
